Enterprise compliance management software

Know which assets are compliant, due or overdue, across every site, team and contractor. EXTAG keeps the inspections, certificates and evidence on each asset, and proves the work was done at the asset.

EXTAG is a Perth-built software platform for asset-intensive organisations that keeps every asset, no matter how minor, compliant, safe and ready for use.

Compliance is only as good as your evidence

Most organisations already know what has to be inspected, tested and certified. The hard part is proving it, across thousands of items, many sites and a mix of in-house crews and contractors. Lifting gear sits in one spreadsheet, test and tag in another, scaffold tags on paper and certificates in someone's inbox. When an auditor asks, the answer takes days to pull together, and nobody is quite sure it is complete.

EXTAG brings that work into one asset compliance system. Every item has one record, every inspection is recorded against it, and its status updates the moment the work is done.

How it works

  1. Tag each asset. Every item gets an NFC tag, QR label or barcode. Existing registers can be imported with their original identifiers (subject to data quality).
  2. Inspect with a scan. The inspector scans the tag with a standard phone or tablet, completes the checklist and signs off. The result is recorded against that item, even without a signal, and syncs when back in coverage.
  3. Status updates for everyone. The register shows what is compliant, due soon or overdue, on a map and in reports, without anyone retyping results.
  4. Follow up automatically. Reminders go out before anything falls due. When an item fails or goes overdue, linked actions assign the follow-up to the right person.

Proof of presence

Proof the work was done at the asset

A ticked box doesn't show that someone was at the asset. When a person completes a form or action, EXTAG records whether the tag was scanned as part of the process, which shows they were physically at the asset. NFC tags are secure and can't be easily copied, while a QR code can be photographed and scanned somewhere else. For safety-critical inspections, that difference matters.

NFC and QR tags are not live location trackers. Each scan can update an asset's location from the scanning device's GPS, and static assets can have a location set as a pin on a map. GPS tags are the live-location option for high-value equipment.

Certificates and documents on the asset

Manufacturer certificates, manuals, service records and test results are attached to each asset, so the evidence sits with the item, not in a shared drive. EXTAG can also generate certificates from completed inspections and services.

Reporting

Audit-ready reporting

Reporting is built in and included in your licence, using Microsoft Power BI embedded in the EXTAG app. The EXTAG team builds and manages the reports for each solution.

  • Compliance status: compliant, due and overdue, by site, area, asset type or contractor.
  • Inspection history and a full audit trail of who viewed or changed what.
  • Audit and stocktake reconciliation against the register.
  • Proof of presence for each completed action.

Enterprise

Built for the enterprise

Compliance at enterprise scale is as much about control as it is about forms.

Results

Results from WA resources sites

256man-hours a month recovered

A maintenance and scaffolding team removed manual status updates and delays from overdue inspections.

Start with one area

You don't need a big-bang rollout. Start with one asset class, such as lifting gear or test and tag, and have real users within weeks. Then add more areas on the same platform without another app to approve. See implementation.

EXTAG supports your compliance processes and keeps the records. Your organisation still decides which checks, cycles and standards apply.

Frequently asked questions

What is enterprise compliance management software?

It is software that tracks the inspections, tests, certificates and other evidence an organisation needs to show its assets are safe and compliant, across many sites, teams and contractors. EXTAG does this at asset level: every item has one record with its inspection history, certificates, due dates and status, and reporting shows what is compliant, due or overdue.

What kinds of equipment compliance can EXTAG track?

Lifting and rigging gear, electrical test and tag, scaffolding, fire equipment, safety equipment, calibration, servicing and preserved spares, among others. Each area runs as a tailored implementation on the one platform, with forms configured to how your site works and the standards your inspectors work to.

How does EXTAG prove an inspection was done at the asset?

EXTAG records whether the asset's tag was scanned as part of the inspection or action, which shows the person was physically at the asset. NFC tags are secure and can't be easily copied, while a QR code can be photographed and scanned elsewhere.

Can contractors use EXTAG?

Yes. Contractors can scan the same tags and complete the same forms as your own people, with role-based access, so everyone works from one register and you keep the history.

Does EXTAG work on remote sites without a signal?

Yes. Scanning and forms keep working offline and sync when the device is back in coverage.

Is EXTAG secure enough for enterprise IT?

EXTAG is ISO/IEC 27001 certified and hosted on AWS in Australia, with your data staying in Australia and sovereign hosting available on request. It supports single sign-on, multi-factor authentication, role-based access and a full audit trail. Because it is one platform, IT approves it once rather than reviewing a new app for each compliance area.

Does EXTAG replace our ERP or EAM?

No. EXTAG works alongside your ERP or EAM and manages the assets and compliance evidence those systems don't cover. ERP integrations are possible through your systems' available APIs, configured by our team.
