1. About this policy

EXTAG Pty Ltd ("EXTAG", "we", "us", "our") respects your privacy. This policy explains how we collect, use, share and protect personal information through our website and in our enquiries and marketing. It also explains how you can access or correct your information, or make a complaint.

Scope. This policy covers the EXTAG website (extag.com.au) and the enquiries and marketing that come through it. Information handled through the EXTAG platform is governed by the customer's agreement with EXTAG. If you are a customer or a platform user, please refer to that agreement, or contact your organisation or EXTAG.

2. Who we are

3. What we collect

Enquiries and demo requests. Our contact / "Request a demo" form asks for your name, email address, phone number, company and message. Form submissions are stored in our account with our website platform, Wix, and sent to info@extag.com.au. If you email or phone us, we collect your contact details and what you tell us.

Newsletter sign-up. If you subscribe to our newsletter, we collect your email address and your subscription status (for example subscribed, pending confirmation or unsubscribed).

Device and usage information. When you visit our website, our website platform collects technical information, such as your IP address, device and browser type, approximate location (based on your IP address) and the pages you view.

Cookies. See section 7.

You can browse our website without telling us who you are. If you don't give us your contact details, we may not be able to respond to you.

Please don't send us sensitive information (such as health information) through the website.

4. How we use it

We use personal information to:

respond to your enquiry and arrange demonstrations
provide information about our products and services
manage our relationships with customers, prospects and suppliers
run, secure and improve our website, and understand how it is used
send you our newsletter and other marketing, where permitted (see section 8)
meet our legal obligations

5. Consent

We collect only what is reasonably necessary, and we collect it directly from you wherever possible. When you submit a form or contact us, you agree to us using your details to respond to you and as this policy describes. We send newsletters only to people who have signed up or otherwise agreed, and you can withdraw your consent at any time.

6. Who we share it with

We share personal information only as needed with:

Wix, our website platform, which hosts our website and provides our contact and newsletter sign-up forms, and our email marketing and newsletter tools
our business email provider, for messages sent to info@extag.com.au
our professional advisers, such as lawyers and accountants
authorities, where the law requires or allows it

Our service providers may use the information only to provide services to us.

We do not sell personal information.

Overseas disclosure. Information collected through our website is stored and processed by Wix and its sub-processors. This includes form submissions and newsletter subscriptions. They may process it outside Australia, in countries including Israel and the United States. Our business email provider may also process information outside Australia. We take reasonable steps to make sure the information is protected in line with the Australian Privacy Principles.

7. Cookies

Cookies are small files stored on your device. Our website uses essential cookies set by our website platform (Wix) to keep the site secure and working. We do not currently use analytics or advertising cookies. If that changes, we will update this policy.

You can block or delete cookies in your browser, but some parts of the site may not work properly if you do.

8. Newsletters and direct marketing

We send our newsletter and other marketing emails only to people who have signed up or otherwise agreed to receive them, as required by the Spam Act 2003 (Cth). To subscribe, you enter your email address on our website and tick a box agreeing to receive EXTAG's newsletter and marketing emails, which you can withdraw at any time. We may send you an email asking you to confirm your subscription. Our newsletters are sent using Wix's email marketing tools, and subscribers' details are stored in our Wix account.

Every marketing email identifies EXTAG as the sender and includes an unsubscribe link. You can opt out at any time by using that link, or by emailing our privacy contact at info@extag.com.au. We will act on your request within 5 business days. After you unsubscribe, we keep only a record of your opt-out so that we don't email you again.

9. Security

We take reasonable steps, both technical and organisational, to protect personal information from misuse, interference and loss, and from unauthorised access, change or disclosure. For example, we limit access to the people who need it and we use reputable service providers. Website information is stored on Wix's systems, and Wix is responsible for securing them.

No website or online service is completely secure, so please take care when sending information to us online.

10. Keeping and deleting information

We keep personal information only for as long as we need it, or as the law requires:

enquiries and contact records, including form submissions in our Wix account and related emails: 2 years after our last contact with you, then deleted
newsletter subscribers: until you unsubscribe, after which we keep only a record of your opt-out

When we no longer need personal information, we securely delete it or de-identify it.

11. Accessing and correcting your information

You can ask for access to the personal information we hold about you, or ask us to correct it, by emailing our privacy contact at info@extag.com.au (see section 17). We will check your identity, respond within a reasonable time (usually within 30 days), and won't charge you for making a request. If we refuse, we will tell you why in writing and explain how to complain.

12. Complaints

If you have a concern about how we have handled your personal information, please email our privacy contact at info@extag.com.au (see section 17). We will acknowledge your complaint promptly, look into it and give you a response, usually within 30 days.

13. Data breaches

We follow the Notifiable Data Breaches scheme in the Privacy Act. If a data breach is likely to cause serious harm, we will notify the people affected and the OAIC as required.

14. Children

Our website is designed for businesses and is not directed at children. We do not knowingly collect personal information from children.

15. Links to other websites

Our website may link to other websites, such as social media or news sites. We are not responsible for their privacy practices, so please read their privacy policies.

16. Changes to this policy

We may update this policy from time to time. The current version will always be on our website with the date it was last updated.
